The checklist turns green
A workshop business owner must approve a provider before confirming a client’s booking. A neat, dated pack makes approval feel routine. In this hypothetical example, the client pays the business, which pays the provider to deliver a session for 24 participants. All figures are assumed. The pack says “participants tested: 12.” An administrator marks the checklist complete because every requested document is attached. Yet the capacity requirement lacks support. Confirming now could promise the client capacity the provider has not demonstrated.
The booking is bigger than the evidence
The tick records document presence, not suitability. A newly dated summary can repeat the same limited record. A provider’s guarantee does not demonstrate delivery at twice the tested group size. Compare the booking’s participant requirement with the supporting record, its date and delivery arrangement. If it covers only 12 participants, leave approval pending and request evidence covering 24.
Two ways to check the same claims
Assume suitable evidence is available before the booking deadline. Reuse the pack without a fee and trace six required claims at 30 minutes each: three hours. At an assumed staff time value of $40 per hour, 3 × $40 = $120. Alternatively, pay the provider $120 to map claims to records, then independently check six claims at 15 minutes each: 1.5 hours. The combined resource cost is $120 + 1.5 × $40 = $180. Both fit four available review hours and a $120 external review spending cap. Choose reuse and tracing: it costs less overall. Staff time is a resource valuation, not an extra cash payment.
Less review time changes the choice
Now suppose the owner has only 1.5 review hours. The mapped pack fits; manual tracing does not. Pay for mapping only if the records support the 24-person arrangement. Relabelling the 12-person record leaves approval unsupported: renegotiate the booking or choose another provider. A simple checklist remains appropriate when a previously verified pack still covers the same requirements and current arrangement.
